Apply healthcare and data management knowledge to data from varied healthcare-related sources. Read-in, transform and load data into a standardized central data model. Schedule and monitor production processes that apply data quality benchmarks, and produce transformed datasets for clients according to agreed-upon business rules. Write queries to analyze identified data quality issues.

Job Responsibilities

Required Technical Skills

  • Programming experience required; will be required to learn BASE SAS and SAS Macro processing
  • Other software and utilities—Unix, Microsoft Excel
  • Strong written and verbal communication skills
  • Healthcare experience valued

Health Data Innovations (HDI) is seeking an experienced Executive Assistant & Office Manager to serve as the central point of contact for our office operations and provide high-level support to the CEO and senior leadership team. This full-time, exempt role is essential to our daily efficiency, requiring someone who can balance the strategic needs of leadership with the day-to-day requirements of a thriving, in-office team.

Position Purpose
This role provides proactive, confidential, and complex support to HDI’s leadership team while ensuring our office runs smoothly, professionally, and efficiently. As the “go-to” person, you will keep leaders organized, manage key operational logistics, and act as a reliable partner in driving business outcomes.

Key Responsibilities

Executive Support

  • Manage complex calendars, scheduling, and meeting priorities for the CEO and senior leadership.
  • Serve as a trusted liaison between leadership, employees, clients, vendors, and partners.
  • Prepare for leadership meetings by creating agendas, taking notes, tracking decisions, and following up on action items.
  • Manage information flow, correspondence, and presentations with high discretion and professional judgment.
  • Track deadlines and critical dates to ensure the leadership team stays ahead of their commitments.

Required Technical Skills

  • Interface with the landlord, manage facilities/security needs, and ensure a professional, functional office environment.
  • Oversee office supplies, equipment, and procurement, maintaining inventory and managing vendor relationships.
  • Coordinate conference room setups, catering for team meetings, and technology requirements for on-site or off-site events.
  • Assist Marketing with logistics, including shipping conference materials (booths, flyers, collateral) to and from industry events.
  • Handle special project support as needed, such as ad-hoc client engagement tasks (e.g., AMA provider matching).
  • Improve and maintain operational processes and procedures to support company growth.

Qualifications

  • 3 to 5 years of experience in executive administration, office management, or a hybrid support role.
  • Demonstrated success managing complex calendars, office facilities, and vendor relationships.
  • High level of professionalism, discretion, and diplomatic communication skills.
  • Proven ability to manage multiple priorities, projects, and ad-hoc operational tasks simultaneously.
  • Proficient in Microsoft Office and comfortable learning new software or tools.
  • Associate’s degree or equivalent work experience preferred.

This role reports directly to the CEO and is ideal for an HR professional who sees HR as a strategic business function, not just an administrative one. HDI’s work centers on healthcare data integration, standardization, and transformation, so the right person will bring a modern, solution-oriented, technology-first mindset to help build scalable people operations.

Position Overview
The HR Generalist will own the day-to-day HR function while helping design the foundation for HDI’s future full-time HR leadership needs. This is a hands-on role with both tactical and strategic responsibilities, including employee relations, compliance, payroll support, policy development, onboarding, and HR process improvement. Because HDI is a small company with growth goals, this role must be led by someone who is comfortable operating independently, thinking ahead, and building systems that support scale.

Key Responsibilities

  • Serve as the primary HR contact for employees and leadership, providing guidance on HR policies, procedures, and employee matters.
  • Manage core HR operations, including onboarding, offboarding, recordkeeping, benefits coordination, leave administration, and employee lifecycle support.
  • Oversee and help improve a currently manual monthly payroll process, with a focus on building a more efficient and scalable solution.
  • Support multi-state payroll coordination and ensure compliance with applicable employment laws and regulations.
  • Partner with the CEO on HR strategy, organizational growth, policy development, and workforce planning.
  • Evaluate and recommend HR technology, process improvements, and system integrations that reduce manual work and improve accuracy.
  • Maintain compliance with federal, state, and local employment requirements.
  • Support recruiting, job postings, interviewing coordination, and hiring process administration as needed.
  • Help create a positive, accountable, and growth-oriented employee experience.
  • Lead HR transformation efforts that prepare the company for future scale and a transition from part-time to full-time HR leadership.

Qualifications

  • 5+ years of progressive HR experience, preferably in a small or growing company.
  • Strong knowledge of multi-state payroll practices and employment law compliance.
  • Experience as the sole HR resource or in a role with broad HR ownership.
  • Demonstrated success improving HR processes, systems, or integrations.
  • Comfort with HR technology, payroll platforms, and solution-oriented process design.
  • Strong business acumen, sound judgment, and excellent interpersonal skills.
  • Ability to operate with a strategic mindset while handling tactical HR responsibilities.
  • Experience supporting leadership directly and influencing people-related decisions.
  • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
